AFS Works To Keep the Annual Meeting As Affordable As Possible

Keeping the annual meeting affordable is our overriding consideration as we research and select sites for each AFS annual meeting. Hotel prices are only one element of that calculation, which also includes meeting registration fees, airfares, meal prices, local transportation, and incidental costs. These costs are interrelated: for example, smaller cities sometimes have less expensive hotels, but they are very often more expensive to reach by air. The best site is most often the one in which all these costs are in the best balance. We take pains to keep meeting registration fees—one of the costs we can control—as affordable as possible. Over the past 10 years we’ve instituted a variety of lower-cost meeting registration rates (as well as membership dues categories) for new professionals, retired folklorists, adjuncts and independents, and those with low incomes.

In most cases, our meeting registration rates are well below the average for the 38 ACLS-member humanities and social science learned societies of our approximate size. For example, the average regular member meeting registration rate for comparably sized ACLS societies is $182; ours is $155 (15% lower). For students, the ACLS average rate is $97; ours is $60 (38% lower). For those with low incomes, the ACLS average rate is $116; ours is $60 (48% lower).

Moreover, we offer a number of annual meeting travel stipends to students, scholars of color, international scholars, and community scholars and artists each year. For our seven annual meetings from 2010 to 2016, the amount we awarded in such stipends totaled $101,500—over $14,000 a year. We also offer students free meeting registration in exchange for assistance for a few hours’ assistance at the annual meeting registration desk; AFS staff contacts all registered students in August to invite them to take advantage of this and all other opportunities for students at the upcoming meeting.
