2018 Annual Meeting: Submitting a Proposal Online

Thank you for your interest in participating in the 2018 AFS Annual Meeting, October 17-20, 2018, at the Buffalo Niagara County Convention Center, in Buffalo, New York. The deadline for submitting online or mailed-in proposals for the meeting program is March 31.


Important Notes

  • Individuals may present only once at the annual meeting. "Presenting" means giving a paper, Diamond or film presentation, or participating in a Forum in any way. See Annual Meeting Policies for information about the few exceptions to this rule.
  • AFS membership is not required to present at the Annual Meeting, but it is cheaper to pay both membership dues and member registration rates than it is to register as a nonmember.
    • If you’re a current AFS member, sign in before you register, so you will receive your member discount.
    • If you’re not, consider joining before March 27; it may take a few days for your membership to be processed before your discount will be available.
  • Before you submit your proposal, you will register for the meeting. When you’re done, you’ll receive a confirmation page and email with a link to an external proposal submission portal.
  • The Proposal Submission Portal requires you to "Sign Up" specifically for that system, but it will also allow you to return to your proposal at any time through March 31. See Using the Proposal Submission Portal for instructions about the system.
  • The checklists below will help you prepare your proposal, but the flexibility of the proposal system allows you to register and start your submission at any time. We recommend that you register and start your submission early, in order to avoid last-minute registration or submission system difficulties.
  • Proposals must be complete on March 31. Proposals that lack essential information will not be submitted to the Program Review Committee for consideration. See the checklists below to determine which components are essential for your proposal type.

All Proposals

All proposal forms ask for keywords approved by the AFS Ethnographic Thesaurus that describe the content of the presentation (eg, genre, group, place and approach). See Using Keywords in Annual Meeting Proposals before you register and submit your proposal.

 

Proposals for Individual Presentations

If accepted, individual presentations will be grouped with others in a two-hour session. Please click on the links below for instructions specific to each presentation type.

Proposals for Pre-organized Sessions

The chair of a pre-organized session submits all the information for the session. This means that the chair will register only him/herself for the annual meeting, then submit the proposal for the session, including the information about the session as a whole and the information about each participant. Please click on the links below for instructions specific to each presentation type. Chairs of pre-organized sessions are responsible for requesting accommodations in advance for all the participants' audiovisual and scheduling needs.

Those who propose to participate in a pre-organized session (but not to act as chair) must:
    • submit their information to the chair of the session well before the March 31 deadline.
    • register for the annual meeting by March 31.
 
Registration for the Annual Meeting

Those who are proposing individual presentations or who are chairing pre-organized sessions will register as part of the proposal submission process, which must be concluded by March 31.

Those who propose to present in a pre-organized session but not act as chair should submit their presentation information to the chair of their session well in advance of the deadline, and register before March 31.


Those who will not present may register online at preregistration rates until August 31. On site registration will be available at a higher rate.
